1. Introduction
This Privacy Policy outlines how Far Reach Travel Inc., doing business as Far Reach Club (“we”, “us”, “our”), collects, uses, discloses, and protects your personal information when you:
- (i) book a trip with us (the “Trip”);
- (ii) use our website at farreachclub.com (the “Website”) or use any related features, booking tools, and communications we make available through the Website; and
- (iii) communicate with us in person, by phone or email
(collectively, the “Service”).
Far Reach Club is a travel service provided by Far Reach Travel Inc. that curates and books international travel experiences focused on culture, atmosphere, connection and slower-paced adventure travel. We are based in Vancouver, British Columbia and act as a travel agent that arranges, books, and facilitates travel and related services on your behalf. The Service is not directed to individuals under 18 and Far Reach Travel does not knowingly collect personal information from minors.
2. Giving and Withdrawing Your Consent
Please read this Privacy Policy carefully. By using the Service, you acknowledge and confirm you understand the notices in this Privacy Policy. If you do not agree, you must refrain from using the Service.
We collect, use, and disclose your personal information with your consent and as permitted by applicable privacy laws.
By providing us with your personal information through the Service, you consent to our collection, use, disclosure, and retention of that information in accordance with this Privacy Policy and as permitted by law.
You may withdraw your consent at any time by contacting our Privacy Officer (see Section 16). Upon withdrawal of consent, we will cease processing your personal information, unless we are required to retain certain data by law. 3. How We Collect Your Information
We may collect personal information from you in the following ways:
- Information you provide to us: This includes your name, email address, phone number, and any other information you voluntarily submit by booking a Trip with us, through contact forms, booking forms or requests, by email, on the phone or when subscribing to our newsletter. Payment card information is collected and processed by Stripe, our payment processor, and is not directly accessible by Far Reach Travel. We do not keep your payment card on file for later charges.
- Information collected after booking: After you book, we email you a link to our pre-trip form. Through that form we collect passport information, flight details, travel insurance information, emergency contact information and any medical, mobility or accessibility information relevant to the Trip. The pre-trip form must be completed by the Payment Due Date set out in our Terms and Conditions (seventy (70) days before the Trip starts) or, for later bookings, as soon as possible after booking. Proof of travel insurance can be provided later, but no later than fourteen (14) days before the Trip starts.
- Records of your acceptance: When you accept our Terms and Conditions, this Privacy Policy and our Release and Waiver of Liability on our booking form or pre-trip form, we automatically record the version of each document you accepted, the date and time of acceptance, your IP address and your browser user agent. We keep this record to evidence your acceptance.
- Automatically collected information (Cookies and Tracking): When you visit our Website, we may automatically collect certain information about your device and usage, such as your IP address, browser type, operating system, pages you visit, and the time and date of your visit. This information is collected using cookies, web beacons, the Meta Pixel, Google Analytics, Webflow and Klaviyo analytics tools, and other similar tracking and advertising technologies. We use this information to understand Website traffic patterns, improve user experience, and to deliver, measure, and personalize advertising, including retargeting through platforms such as Meta (Facebook and Instagram). Where required by applicable law, we will obtain your consent before placing non-essential cookies or using advertising and tracking technologies, and you may change or withdraw your choices at any time through our cookie preferences tool on the Website. You can also control cookie settings through your web browser and manage advertising and targeting preferences through the ad settings offered by the relevant advertising platforms, but please note that disabling cookies may affect the functionality of our Website.
4. Third-Party Bookings for Other Guests or on Your Behalf
If you book a Trip for other guests, you confirm that you are authorized to provide their personal information and have obtained all necessary consents for us to collect, use, and disclose such personal information as described in this Privacy Policy and our Terms and Conditions.
If a third party books a Trip on your behalf, we will consider such third party to be authorized to provide us with your personal information as though it were provided directly by you and deem that you have given your consent to our collection, use and disclosure of such personal information as described in this Privacy Policy and our Terms and Conditions, unless we are advised otherwise.

- Information you may provide us about mobility, medical, or accessibility requirements, allergies or dietary needs, or other assistance requests necessary to facilitate safe travel and accommodations on the Trip

- Online identifiers and advertising data (e.g., cookie identifiers, pixel identifiers, and referring/exit URLs) collected through cookies, web beacons, the Meta Pixel, and similar advertising and analytics technologies
Payment & Transaction Information
- Payment card details and billing information (collected and processed by our third-party payment processor)
- Transaction history for paid bookings
Photographs & Images
- Photographs, videos, and other images of you captured during the Trip
Records of Your Acceptance
- Document version, date and time of acceptance, IP address and browser user agent, recorded when you accept our Terms and Conditions, this Privacy Policy and our Release and Waiver of Liability
We do not make copies of, photograph or otherwise store images of your passport. We will only collect health or medical information and passport information with your express consent, which we ask for separately on our pre-trip form. If you do not give this consent, we may be unable to book certain Third-Party Travel Services for you or accommodate your needs on the Trip.
We will treat any personal information about your health (PHI) you provide us with the utmost care and confidentiality. We handle all PHI in accordance with our legal obligations.
6. How We Use Your Information
We use the personal information we collect to provide you with the Service and for related administrative, billing and collections purposes, as permitted by law, and for the following purposes:
- To communicate with you regarding the Service, including any changes to the Service or to your Trip.
- To respond to your inquiries and provide you with information you request.
- To accommodate any requests you may have in connection with special assistance, medical or dietary needs relevant to your Trip.
- To book or facilitate accommodation, transportation, activities and any other bookings with Third-Party Travel Services (defined in Section 7.1 below) to facilitate your Trip and the Service.
- To improve our Website and Service by analyzing Website traffic and user behaviour, and to deliver, measure, and personalize advertising, including retargeting, through third-party advertising platforms such as Meta and Google.
- To send you newsletters, updates, or promotional materials if you have explicitly opted in to receive them.
- To complete and confirm your Trip booking and process payments for the Service.
- To collect feedback about the Service.
- To comply with any legal and regulatory obligations, including record-keeping requirements.
- For such other purposes to which you may consent, or as permitted by law.
- To take and use photographs, video, and other images of you and your participation in the Trip in our marketing and promotional materials, in print or electronically, as described in our Terms and Conditions. We will only do so if you have opted in by ticking the photo consent box on our booking form or pre-trip form, and you may withdraw your consent at any time as set out in our Terms and Conditions.
- To verify your identity and facilitate travel arrangements for the Trip in accordance with applicable legal, regulatory, and security requirements.
7. Disclosure of Personal Information
We take care to ensure your personal information is disclosed in accordance with our privacy commitments to you. We will share information with our trusted partners and service providers to enable us to conduct our business, operate our Website and provide you with the Service. Far Reach Travel service providers will only have access to the limited amount of personal information necessary to perform their functions. As permitted by applicable law, we may share your personal information as follows:
7.1 To Third-Party Travel Services
We may share your personal information with accommodation, transportation, activity, hospitality or other third-party service providers (“Third-Party Travel Services”), as reasonably necessary to provide you with the Service. Information shared with Third-Party Travel Services is limited to what is necessary to provide the Service.
Where a Trip requires it, any health, medical, dietary, or accessibility information you provide is shared only with the specific Third-Party Travel Services that need it to facilitate safe travel and accommodations, and only to the extent necessary for that purpose.
We do not control the privacy practices of Third-Party Travel Services. Any information you share directly with a Third-Party Travel Service is governed by that provider’s privacy policy.
7.2 To our Service Providers
We use the following third-party service providers to deliver our Service, as well as to assist us in the administrative aspects of delivering the Service:
Each provider is engaged only to the extent necessary for its specific function and is required to handle any personal information in accordance with applicable privacy legislation. Where a provider may process data outside of Canada, this is noted below:
- Stripe – payment processing for Trip Fees. Stripe may store, transfer and process data outside of Canada; their privacy practices can be reviewed at: stripe.com/en-ca/privacy
- Webflow – website hosting and analytics. Webflow may host, transfer, and process data in the United States or countries other than the United States; their privacy practices can be reviewed at: webflow.com/legal/privacy
- Cloudflare – hosting of our booking system and website security. Information you submit on our booking form passes through Cloudflare before it is stored in Airtable. Cloudflare may process data in the United States and other countries outside of Canada; their privacy practices can be reviewed at: cloudflare.com/privacypolicy
- Airtable – booking records database, where the information from our booking form and pre-trip form is stored. Airtable stores and processes data in the United States; their privacy practices can be reviewed at: airtable.com/company/privacy
- Google Workspace – document management, communication and scheduling. Google may process data outside of Canada; their privacy practices can be reviewed at: policies.google.com/privacy
- Google Analytics – analytics
- Gmail – email services
- Google Drive – cloud storage
- Meta Pixel, Instagram Ads, Meta Ads Manager – advertising technology. Meta may store, transfer and process data outside of Canada; their privacy practices can be reviewed at: facebook.com/privacy/policy
- Klaviyo – analytics, advertising technology and email marketing. Klaviyo may transfer, store and process data outside of Canada, including in the United States; their privacy practices can be reviewed at: privacy.klaviyo.com/policies
- Resend – transactional email, including booking confirmations, payment links and payment reminders. Resend may transfer, store and process data outside of Canada, including in the United States; their privacy practices can be reviewed at: resend.com/legal/privacy-policy
- PDFMonkey – generation of booking confirmation documents. PDFMonkey is based in France and processes data in the European Union; their privacy practices can be reviewed at: pdfmonkey.io/privacy-policy
- Rella – social media project management. Rella hosts, transfers, and processes data in the United States; their privacy practices can be reviewed at: getrella.com/privacy-policy
- Xero – bookkeeping and accounting services. Xero may transfer, store and process data outside of Canada, including in the United States.
These service providers have access only to the information necessary to deliver their services. All service providers are required to adhere to strict confidentiality and data security protocols. Some of these service providers may store or process data on servers located outside of Canada (as specified above), which may be subject to foreign laws including disclosure requirements under foreign government authorities.
7.3 Other Disclosures
As permitted or required by applicable law, we may disclose your personal information in the following circumstances:
- When required by law: We may be required to disclose your personal information in response to a court order, subpoena, warrant, or other legal process served on Far Reach Travel, or as otherwise required by applicable federal or provincial legislation.
- In connection with a business transaction: In the event that Far Reach Travel undergoes a change of ownership, amalgamation, dissolution, or ceases operations, your personal information and PHI may be disclosed or transferred to a successor, acquiring party, or records custodian, subject to equivalent privacy protections and in compliance with applicable retention requirements and privacy legislation. We will notify you of any such transfer to the extent required by law.
- With your explicit consent: We may disclose your personal information for other purposes not described in this Privacy Policy with your prior explicit, written consent.
8. Where We Store Your Information
We may use third-party service providers located in Canada, the United States and the European Union (including France); some of them may also process data in other countries. Because we offer the Service to customers worldwide, your personal information may be stored, accessed, transferred, or processed in these jurisdictions and may be subject to lawful access requests from government authorities. Where we transfer personal information from the European Economic Area (EEA), the United Kingdom, or Switzerland to a country that has not been recognized as providing an adequate level of data protection, we rely on appropriate safeguards, such as the European Commission’s Standard Contractual Clauses (and the UK International Data Transfer Addendum, as applicable), copies of which may be requested from our Privacy Officer (see Section 16).
9. How We Protect Your Information
We are committed to safeguarding the personal information of our users in compliance with applicable data protection and privacy laws. We take reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, use, or disclosure.
Far Reach Travel uses reasonable technical, administrative and organizational measures to protect personal information against unauthorized access, use, disclosure, alteration and loss. These measures include encryption of data in transit where supported, password-protected systems and devices, multi-factor authentication where available, restricted access to personal information on a need-to-know basis, and the use of reputable third-party service providers with industry-standard security practices. We review our security practices periodically and take reasonable steps to safeguard the personal information we hold.
10. Our Data Retention Policy
Personal information is retained only as long as necessary to facilitate the Service or as required by law. When the Service ends, we will either delete or anonymize personal information, unless we are required by law to retain the data.
11. External Websites & Third-Party Services
Our Website may contain links to external sites. Please note that we do not control the privacy practices of these external parties. Any information you share while visiting another website or using third-party services is governed by that provider’s privacy policy.
12. Unsubscribing From Communications
You can opt out of our mailing list at any time by clicking the unsubscribe link found in the emails you receive from us.

This Privacy Policy shall be governed by and construed in accordance with the laws of the Province of British Columbia, Canada, without regard to conflict of law principles.
